How builders and project teams can create a clear aerial record for progress, access, visible conditions, change events and stakeholder review.

Aerial documentation can reduce ambiguity when a construction team needs to review what was visibly present at a particular time. It is evidence support, not an automatic legal conclusion or replacement for contracts, site records, engineer reports or expert advice.

Start before the dispute

The strongest record is a routine, dated capture programme rather than a rushed flight after an issue appears. Agree the boundary, recurring viewpoints, file naming, report format, site contact and storage process at the beginning of the project.

Record the event clearly

For a change, delay, access problem or visible condition, note the capture date, site phase, weather, viewpoint, area, source file and what the image does not show. Avoid editing that removes context. Keep originals and a versioned report.

Separate observation from conclusion

Write “visible material stored in the north staging area” rather than asserting ownership, responsibility or contractual breach. Link every observation to an identifiable frame, map or report page and have the responsible project professional interpret it.

Protect the record

Control access, retain original files, record delivery dates and avoid overwriting earlier versions. If media may be used in a formal claim, the client should obtain appropriate legal and technical advice about preservation and admissibility.

It can document the current state, but it cannot recreate historical evidence that was never captured.
