Drone Project Closeout and Handover Checklist for Indian Clients

What to confirm at the end of a drone video, mapping or inspection project so files, approvals, usage and limitations are not lost.

A drone project is not complete when the download link arrives. Closeout should confirm that the client received the agreed deliverables, understands limitations, approved the final version and knows how source media, usage rights, maps, reports and archive access will be handled.

Reconcile the deliverables

Compare the contract or quote with the delivery: photographs, edited video, raw or log files, maps, point clouds, models, reports, annotations, project files and platform-specific exports. Mark items that were not captured, were excluded or remain subject to another review.

Record acceptance and corrections

Use a short acceptance note or issue list tied to filenames, timecodes, map layers or report sections. Preserve corrected versions with clear names; do not silently overwrite the original handover.

Confirm rights and access

State the approved usage, source-media rights, third-party material, publication approvals, download window, access contacts and whether the client or provider is responsible for long-term storage. A delivery link is not itself a copyright transfer or permanent archive.

Close the data and learning loop

Document capture date, permissions or site records supplied, limitations, weather or access issues, archive location, deletion request process and any recommended follow-up inspection. For recurring work, carry agreed improvements into the next brief.
